We are recruiting for a Permanent Full-Time Human Resources Coordinator - Recruiting to provide full cycle recruiting support for our Agency. Including preparing and posting job postings, screening applicants, setting up interviews, preparing interview packages, obtaining pre-employment documentation, obtaining approvals for job offers, preparing offer letters, contracts and meeting with new employees to complete onboarding. Maintaining the applicant tracking system, performing tasks on HRIS System and providing a variety of technical and administrative supports for the Human Resources team. This position works up to 37.5 hours per week.

Minimum Requirements for this position include:

  • Degree or College Diploma in office administration or an equivalent knowledge and education as deemed acceptable by the Agency, post graduate courses in Human Resources is an asset;
  • Minimum of 3 years full-time recent administrative experience in Human Resources in a unionized and non-unionized environment preferably in the social services field; 2 to 3 years full-time experience for full cycle recruiting including using social media and online recruitment methods;
  • Demonstrated excellent communication, interpersonal, organizational, analytical, detail oriented and problem solving skills; ability to work independently; maintain confidentiality of privilege information. Experience using Applicant Tracking systems is preferred. Knowledge of the Employment Standards Act as it pertains to payroll and human resources and the ability to interpret collective agreements and agency Standards of Practice is preferred;

Duties and Responsibilities (included, but not limited to):

  • Receiving requests for posting vacant positions; drafting job postings for review and posting on our applicant tracking system in accordance with our processes;
  • Ensuring posting of positions is done through a variety of avenues with equity and inclusive and diverse lens, including reaching out to community partners, educational institutions, as per established processes to maximize our exposure;
  • Research and recommend strategies to support strategic inclusive and diverse recruitment;
  • Screening resumes while posting is current and when it expires to provide a short-list of qualified applicants to the requesting hiring supervisor for their consideration;
  • Contacting qualified applicants to set up interviews on dates/times provided and send confirmation of interviews to the applicants and to the interviewing team;
  • Ensure interview questions are provided to the lead interviewer for updating and finalizing prior to the interview and providing finalized questions to the interviewing team;
  • Keeping the applicant tracking system updated to ensure resumes are tagged with status, relevant information is posted on applicant's application; old postings are archived;
  • Sets up a meeting to complete onboarding, including providing benefit information, completion of human resources and payroll forms, ensuring this meeting coincides with payroll deadlines;
  • Suggesting creative ways of reaching out to attract diverse talent, using social media, online resources, marketing campaigns etc., to ensure optimum exposure. Assisting with new strategies to enhance the recruitment process by working on marketing campaigns, conducting research and recommending creative ways to support recruitment;
  • Attending career fairs to support recruitment needs;
  • Provides support to Scheduling and Administrative Associate during periods of absences of staff, as required;
  • Is knowledgeable of the duties performed by the Human Resources Coordinator to assist during periods of absences where coverage is required due to meeting payroll processing timelines;
  • Works on special projects as may be assigned (e.g. pandemic support);
