We are recruiting for a permanent full-time Payroll Coordinator to be responsible for the confidentiality and maintenance of all payroll records; preparing, processing and reconciling the in-house payroll on a bi-weekly basis, remitting payments to external agencies and governments and preparing regulatory reports as required and monthly balancing of accounts associated with payroll. This position works up to 37.5 hours per week.

Minimum requirements of this position include:

  • Community College diploma in an acceptable discipline related to payroll and/or human resources management; designation as a Payroll Compliance Practitioner (PCP), Certified Payroll Manager (CPM) from the Canadian Payroll Association, or equivalent knowledge and experience as deemed acceptable by the Agency;
  • Minimum of four (4) years recent full time experience working in a large (over 500 employees) unionized and non-unionized environment preparing payroll on an in-house payroll system. Knowledge of ComVida, Dayforce and Ceridian payroll systems is an asset;
  • Excellent communication and interpersonal skills and demonstrated ability to maintain confidentiality. Advanced computer skills including expert skills in Excel, Word and databases;
  • Demonstrated experience with software conversion/implementation is an asset; demonstrated ability to interpret collective agreements and employment legislation. Proven problem analysis and problem-solving skills, detail accuracy, process driven, ability to multi-task, organized with above average time management abilities.

Duties and responsibilities (including, but not limited to):

  • Preparing, processing, reconciling the complete payroll utilizing the in-house payroll system bi-weekly for approximately 500 employees;
  • Auditing payroll processing for errors and making required changes;
  • Preparing, processing, reconciling and distributing all remittances related to the bi-weekly payroll including, but not limited to, the benefit accounts and remitting payments to insurers, unions, agencies and appropriate government departments as required;
  • Preparing, reconciling and distributing all required annual reports, (T4s, EHT, WSIB, etc.);
  • Balancing T4 information slips to payroll register and preparing, reconciling and distributing T4 information slips;
  • Posting electronic pay slips; Preparing Records of Employment;
  • Interpreting government regulations affecting payroll issues and bringing any issues to the attention of the Human Resources Manager or designate;
  • Responding to requests/queries from employees and external agencies on matters relating to payroll;
  • Identifying process improvement initiatives and defining standards for new processes;
  • Critically reviewing and analysing current payroll, benefits and tax procedures in order to recommend and implement changes leading to best-practice operations;
  • Ensuring the back-up Payroll Coordinator is kept current and is able to process the complete payroll cycle at all times;
  • Providing support to Human Resources and/or Scheduling as required.

  • Must possess a current and valid "Class G" driver's license and own reliable transportation to be used in the course of employment.
