We are recruiting for a permanent full-time Administrative Associate/Receptionist to provide a safe, welcoming, and helpful reception area for staff, visitors and the people we support by telephone and in-person, in accordance with the stated policies and procedures of the Agency. This position provides administrative support to the Empower Simcoe Foundation and Chief Executive Officer's office.

The rate of pay for this position is $22.49 per hour working up to 37.5 hours per week.

Minimum requirements of this position include:

  • Community College Diploma in Office Administration, or acceptable equivalency as determined by the employer;
  • Minimum of three (3) years recent full-time work experience in reception/clerical position, preferably in the social services field;
  • Advanced working knowledge of computer applications, specifically Microsoft Office;
  • Detail oriented with exceptional organizational and time management abilities;
  • Strong interpersonal skills with excellent written and verbal communication;
  • Proven ability to maintain a calm and professional demeanour in stressful situations;
  • Demonstrated ability to work independently and with staff members from all program areas;
  • Preference will be given to applicants who are bilingual (French/English).

Duties and responsibilities (including, but not limited to):

  • Typing, formatting, copying, distributing, filing and maintaining program/department documentation both electronically and hard copy;
  • Receive and direct all incoming calls, inquiries and appointments;
  • Book meeting rooms and equipment, and coordinate catering for meetings, as requested;
  • Sort and distribute incoming mail, and process outgoing mail items daily;
  • Support the Barrie Housing Department with booking of appointments, compiling a weekly housing availability listing, providing information and redirecting the public to other community resources;
  • Responsible for the duties outlined in the Emergency Preparedness Plan for the Agency;
  • Maintain a clean and safe reception area; control inventory relevant to reception area;
  • Ensure entry/exit doors are unlocked and locked at the start and end of each business day;
  • Perform daily fire and health and safety checks for assigned work location;
  • Maintain reception procedural handbook to ensure backfill reception staff have the required information to cover duties; train backfill staff as needed;
  • Provide support to program areas as required and as approved by the reporting Manager;
  • Other duties as assigned by the Marketing and Communications Manager, Executive Assistant or Supports and Services Manager.

Special factors of this position:

  • Must be prepared to work flexible hours as required;
  • Must have a valid Class G driver's License and own reliable transportation;
  • Must be able to do some lifting of supplies and materials from time to time;
  • Must participate in team meetings and attend training, as required.
