We are recruiting for a temporary full-time Human Resources Administrative Associate. This position provides administrative support for the Human Resources office; responds to employee inquiries related to Human Resources with a primary focus on agency wide new staff recruitment support and staff training. The starting rate of pay for this position is $22.49 per hour. This is a contract position working 37.5 hours per week until April 29, 2022.

Minimum requirements of this position include:

  • Community College diploma in office administration or Human Resources or an equivalent knowledge and experience as deemed acceptable by the Agency;
  • Minimum of 3 years full time experience in an administrative assistant position in a social/human services environment; previous work experience in a Human Resources department will be considered an asset;
  • Demonstrated excellent communication; interpersonal, organizational, written and verbal communication skills; ability to maintain confidentiality of privileged information; good working knowledge of Microsoft Office products, specifically, Word, Excel, Power Point and an applicant tracking system.

Duties and responsibilities (including, but not limited to):

  • Assisting and answering questions and inquiries as reception for the Human Resources Office, in person and over the phone or through email;
  • Providing administrative support which includes processing correspondence and information for the department;
  • Under direction and guidance providing support for full cycle recruitment process. Utilizing, maintaining and managing an applicant tracking system, posting job vacancies, screening and selecting candidates for part-time/casual relief interviews as required; setting up and maintaining competition files for all postings ensuring resumes submitted are placed in the appropriate competition file; scheduling interviews, preparing interview packages for team; tracking open competition files to ensure they are returned to the department, closing and storing the competition files;
  • Ensuring the applicant tracking system is kept current;
  • Providing administrative support for learning and performance, performance management, succession planning and health and safety initiatives;
  • Supporting the staff training function, including preparing the training calendar bi-annually in consultation with the Human Resources Manager, assisting training instructors in scheduling internal training dates and maintaining the staff training calendar on Sharepoint;
  • Processing requests for staff training, payment of external courses, arranging transportation and hotel accommodations as required and providing confirmation of all training as per guidelines;
  • Maintaining staff training records on HRIS and assisting in the overall maintenance of the HRIS software as required;
  • Setting up and maintaining files for the department and ensuring timely filing of all documentation in the employee files;
  • Providing assistance to the Human Resources team during heavy workload periods as needed;
  • Providing support to special projects as may be required.
