We are recruiting for a permanent full-time Program Associate to provide administrative duties and support to the Supports & Services and Quality & Innovations programs in accordance with the stated policies and procedures of the agency in order to ensure effective and efficient operation of the department.   

The rate of pay for this position is $22.27 per hour working up to 37.5 hours per week.

Minimum requirements of this position include:

  • Community College Diploma in Office Administration, or acceptable equivalency as determined by the employer;
  • Minimum of three (3) years recent full-time work experience in an administrative/program support position, preferably in the social services field;
  • Detail oriented with exceptional organizational and time management abilities;
  • Strong interpersonal skills with excellent written and verbal communication;
  • Proven ability to work both independently and in a team environment;
  • Proficient computer skills and experience working with Microsoft Office applications, with intermediate level Excel knowledge.

Duties and responsibilities (including, but not limited to):

  • Typing, formatting, distributing, filing and maintaining program/department documentation both electronically and hard copy;
  • Liaison with different departments in providing appropriate distribution of documentation;
  • Prepare and maintain purchase orders and purchase order log;
  • Prepare reports for summaries and trending as needed;
  • Receive and direct all incoming calls; receive and direct all inquiries and appointments, book meeting rooms and equipment; sort and distribute incoming mail;
  • Assist the program in the use of electronic database systems, data entry and produce reports as required;
  • Assist the program with reporting information and statistics to funders as required;
  • Create operational guidelines on PolicyTech regarding job related duties and assist Manager(s) as required;
  • Assist with special projects and assume responsibility for the development, administration and promotion of specific projects, as required.

Special factors of this position:

  • Must be prepared to work flexible hours as required;
  • Must have a valid Class G driver's License and own reliable transportation;
  • Must be able to do some lifting of supplies and materials from time to time;
  • Must have the ability to work under pressure of deadlines associated with the department.
